As a Vortala Service Administrator, you’ll collaborate with various service teams to handle day-to-day tasks, such as bulk subscriber uploads, managing photography projects, and assisting with other important background responsibilities.

To keep pace with the ever-changing digital landscape, you’ll be provided with ongoing training and development opportunities.

Reporting to the Team Leader – Website Production, you’ll work with our allied healthcare brand, Perfect Patients, and Smile Marketing (dentists) building relationships and ensuring customer satisfaction.

Your specific role responsibilities include, but are not limited to:

  • Organize and execute bulk subscriber uploads efficiently
  • Take charge of photography projects, ensuring their successful completion
  • Sort and upload photos following our established process
  • Carry out minor edits before website launches
  • Provide support to the Client Support, Website Production, and Digital Marketing Specialist teams
  • Assist with special projects and additional duties as assigned by Vortala Services management, based on available time


To be invited for an interview, you should possess the following skills and experience:

  • Highly proficient in Microsoft Excel
  • Demonstrated experience in completing administrative tasks
  • Detail-oriented, hardworking, and enthusiastic about working in a data-driven environment
  • Organized, reliable, and capable of meeting deadlines consistently
  • Experience with basic HTML fundamentals
  • Skilled in prioritizing tasks and delivering results on time
  • Displays a high degree of initiative and excels both independently and within a team
  • Exceptional interpersonal skills, both written and verbal
  • Approachable, personable, and maintains positive relationships

Our ideal candidate is a proactive self-starter with excellent communication skills and a willingness to seek clarification when needed. We are seeking an individual who pays meticulous attention to detail, thrives in a multifaceted role, strives for excellence, and embraces the opportunity for continuous growth and development.

Although there is some flexibility on the work schedule, you would need to work 70% of your day from 9am-5pm EDT/EST (3pm-11pm SAST).
